Dürselen Immobilien GmbH (part of the SIERA Alliance) is consistently modernizing its condominium management: clear processes, reliable communication, digital tools and a team that takes responsibility. To this end, we are looking for a structured, service-oriented personality as a COA management assistant.

Your role

You are the organizational and communicative interface between managers, owners/advisors, service providers and internal teams. You ensure that processes run smoothly, deadlines are met and customers experience noticeable support.

Your tasks (WEG)

Communication & transaction processing

  • Acceptance, recording and management of requests (telephone/email/app)
  • Correspondence with owners, advisory boards, service providers and tradesmen
  • Follow-up of open points incl. status updates to customers/advisory board

Organization & deadlines

  • Organization of appointments (advisory board meetings, property inspections, measures)
  • Deadline management (resolutions, resubmissions, feedback)
  • Maintenance of process lists/backlogs and prioritization according to urgency

Owners' meeting (ETV) - preparation & follow-up

  • Support with invitations, documents, powers of attorney, participant lists
  • Structured filing/documentation, dispatch and follow-up of resolutions
  • Coordination of queries and implementation steps in accordance with the UTP

Invoices & service providers

  • Obtaining/managing offers, coordinating appointments
  • Preliminary check of invoices (formal check, allocation, queries)
  • Support in the approval process according to defined limits/workflows

Document management

  • Digital filing according to standards (WEG structure, naming rules)
  • Maintenance of object/master data in our systems

What you bring with you

  • Experience in the Real estate management / WEG (assistance, processing or similar) is a plus
  • Very good organizational skills, Diligence and Liability
  • Customer-oriented communication: clear, friendly, solution-oriented
  • Confident handling of MS Office (Outlook/Word/Excel), digital affinity
  • Team spirit - you work in a structured way and actively follow things up
